Important AEP deadlines

Be sure you know the critical deadlines for the final days of AEP. Below are the key dates and deadlines for Medicare Advantage applications you need to know: 

  • Online applications must be submitted by 11:59 p.m. (local time) Saturday, Dec. 7.

  • Paper applications must be signed by an enrollee and received and signed by you by midnight (local time) Saturday, Dec. 7 and submitted within 24 hours of receipt. Be sure you sign and date a paper application immediately upon receipt, as it must be dated the same day it is received from the consumer. This is also a critical step for you to be assigned as the Agent of Record.


    • If you receive a paper application on or after Dec. 8, follow these guidelines: 

    • Sign and date the enrollment application based on the actual date of agent receipt (backdating is prohibited). 

    • Submit the enrollment application as you normally would. The Enrollment Department may need to pend or deny the enrollment application and reach out to the consumer for a valid election period (if applicable). 

    • Do not destroy or hold AEP enrollment applications dated and/or received after Dec. 7. Submit all received applications to ATRIO Health Plans Enrollment Department.

  • Clients who were impacted by a Service Area Reduction and have not enrolled in a new plan during AEP will receive a special election period that runs from Dec. 8 through February 28. Encourage these clients to enroll in a plan by Dec. 31 to ensure they have coverage starting Jan. 1, 2025, as they will have a lapse in coverage.

  • Double check to ensure applications are error free. Be sure consumers are enrolled in the right plan that they requested, and that there are no errors. If there is an error with the plan the agent intended to enroll a consumer in, a new application must be submitted.
